Description
Reporting to the Vice President of Finance and Administration, the Human Resources Director is responsible for the direction, planning, and implementation of Human Resources functions and activities. This person serves as the community’s liaison and go-to resource for a broad range of Human Resources needs including: Employee Relations, Employee Benefits, Staffing, Compensation, Budgeting, Health & Safety, Compliance, Legal, Training, and the administration of related Human Resources programs. A significant responsibility of this position is to have a pulse of the organizational climate to develop recommendations/programs to attract and retain colleagues, as well as maintain, support, and enhance the diversity of the community. This involves managing employee relations matters, including advocating and coaching/advising the appropriate parties as necessary. The Director of Human Resources will not only maintain a strategic role but will also be required to be “hands-on” in completing administrative tasks.
Essential Responsibilities:
Employment
Oversees the employment process for all open positions. This includes developing and overseeing best practices which foster attracting and hiring individuals who reflect the diversity of the community we serve.
Manages the internal recruiting process and hiring procedure including the creation of job postings, conducting resume redactions and applicant submittals to hiring managers using best practices as outlined in our DEIB hiring procedure.
Manages the school’s onboarding efforts including the generation of offer letters, contracts and sending out onboarding documents to new hires.
Provides guidance to hiring managers as it applies to the adherence to legal standards as well as procedures related to diversity hiring process.
Updates the Employee Handbook as appropriate, which includes researching and advising the school’s senior leadership team relative to best practices and relevant guidelines and leads the efforts for legal review.
Manages the off-boarding process for exiting employees and conducts Exit Interviews and processes all relevant paperwork.
Gathers data which compares the SI workforce demographics to the availability of minorities in the Bay Area recruiting region and reports it to senior leadership.
Ensures the organization complies with all applicable laws/regulations, proactively identifies any employment law changes, and advises management as appropriate.
Ensures that employees are properly classified as exempt/non-exempt and performs the related tests, consults legal when disparities occur.
Partners with the Payroll Administrator to insure job and salary changes occur at the proper increment based on each job classification.
Manages the timely HR reporting (internal and external/statutory) to ensure that benefit related invoices are accurate, processed promptly and reconciled on a regular and/or as needed basis.
Compensation
Partners with the VP of Finance and Administration in planning and coordinating annual compensation review process for Faculty and Staff positions as it relates to creation of the step scale and administrative pay plans.
Participates in, or obtains, relevant salary surveys and benchmarking studies as appropriate and makes related recommendations.
Partners with the Principal and Assistant Principals in obtaining the salary and stipend information in order to create and distribute pre-contacts and contracts (Faculty) and pay change notifications (Staff).
Plans and coordinates the annual compensation review process for Staff positions. This includes participating in, or obtaining, relevant salary surveys and benchmarking studies as appropriate and making related recommendations.
Creates and maintains the master database annually that generates faculty pre-contracts, contracts and pay change notifications for employees and physically generates and distributes them as well.
Creates reports using ADP software for use in Disability claims, Modified Pay Agreements, Leave of Absence management reports, etc which requires basic use of the ADP software system.
Employee Benefits
Manages the school’s benefits program as well as identifies new potential benefits. This includes, but is not limited to, managing the annual renewal and working with the Vice President of Finance and Administration on benchmarking to ensure that the school continues to provide a high quality and competitive overall benefits program, while being fiscally responsible.
Manages the administration of the school’s 403(b) retirement savings plan, which includes employee education, report generation, census testing, compliance monitoring, and assisting with the annual plan audit.
Assists employees in resolving employee benefit claims.
Partners with the VP of Administration and Finance in coordinating the efforts of the Salary and Benefits Committee.
Oversees the annual Open Enrollment roll out process.
Enrolls new hires into the medical, dental, life insurance, vision, disability insurance and flex spending plans and does the same with those staff making changes at open enrollment.
Manages the off-board process for exiting employees from the employee benefit programs and coordinates Federal and State COBRA offerings.
Compliance & Training
Manages the school’s training efforts as it relates to the following topics:
Legal Training for Managers
Sex Abuse Training
Mandatory Sexual Harassment Training as required by the State of CA
Supervisory Training on interviewing skills and conducting reference checks
Trainings as required by the Archdiocese
Maintains the school’s training database to track Virtus and TB testing requirements and sends out reminders to staff when these expire.
Legal / Employment
Partners with the school’s Labor attorney in responding to labor related legal claims, investigations, depositions, mediations, settlements and makes recommendations to management on how to proactively offset potential legal claims from occurring.
Manages the school’s Reasonable Accommodation process as it relates to employee medical issues.
Runs FBI and State of CA background checks for new hires and manages the State/FBI database for SI Staff.
Manages the school’s Leave of Absence administration program in conjunction with Federal, State and City laws, State Disability claims and creates Modified Pay Agreements for those on leave.
Completes applications for insurance as it relates to General Liability and Sexual Misconduct coverage.
Employee Safety and Health
Manages the organization’s Accident Prevention Program and oversees/administers the workers’ compensation claim process, annual audit process and modified duty program.
Partners with the Director of Facilities to maintain the school’s Safety Program, Injury and Illness Prevention Program (IIPP).
Attends loss run meetings with Workers Compensation carrier and Broker to review worker’s compensation claims, identify safety related injury trends and provide corrective action to offset future occurrences.
Schedules ergonomic assessments when requested by employees.
Requirements
Minimum Qualifications/Skills
Significant amount of relevant experience.
Bachelor’s degree from an accredited college/university in a related field.
Demonstrated understanding and knowledge of employment laws /regulations, and all other functional areas (eg: employment, benefits, employee relations)
Demonstrated knowledge and ability to administer benefit programs
Excellent verbal and written communication skills, including the ability to express oneself clearly and concisely, and successfully interact with colleagues at all levels. This includes the ability to de-escalate situations when needed.
Excellent listening skills, including the ability to discern information and operate with objectivity, discretion, and confidentiality.
Strong working knowledge and proficiency with Microsoft Office applications and all other applicable software programs (e.g., ADP Workforce Now).
Self-directed with proven ability to assume responsibility, work independently, creatively solve problems, and move work/projects to completion with minimal supervision.
Demonstrated acute attention to detail in performing job functions.
Ability to prioritize and complete tasks/assignments/projects within established time frames, including the ability to stay focused and manage multiple projects/activities simultaneously.
Preferred Qualifications
Experience working in an Academic environment
Master’s degree in a related field
SHRM Certification
Basic knowledge of ADP payroll software
Strong Experience working with Microsoft Office products including, Word, Excel & PowerPoint and Google Workspace products including, Documents, Sheets, Forms
Physical Requirements
Ability to lift 20 pounds, using proper lifting techniques
Ability to sit, stand, and/or move around the applicable working environment as needed
Ability to travel safely and comfortably around our campus
Ability to use a keyboard (or an alternative input device) and other office equipment
Ability to read information in printed material, on a computer screen, and/or on a mobile device/laptop for extended periods of time.
