Description

The DARTNet Institute is a not-for-profit, 501(c)3, medical research institute with a mission of supporting research and quality improvement activities that utilize existing electronic health data, capturing or using patient reported outcome data with a particular emphasis on pragmatic clinical trials and secondary data analyses. DARTNet also supports the collaboration of multiple academic centers, independent research groups and industry partners.  The Institute’s Data Center, the chief technology and medical officer, the system administrator, and the chief financial officer are in the Denver, Colorado area; and, the technical services director is in Lawrence, Kansas.  The chief executive officer is in Kansas City, Missouri; the client services group is in Dallas, Texas; and, the research team is in various locations in the domestic United States.  The company is virtually organized in that no physical requirements exist to locate to a specific place.  Much more information about the company can be found at: https://dartnet.info

Nature of Work

The Human Resource Administrator will be a part of the DARTNet administrative management team and will support a remote workforce in the areas of payroll, benefits administration, policy administration and other HR and administrative areas.   The Human Resource Administrator will work closely with DARTNet leadership in the areas of policy development, employee relations, and other personnel related issues.  The Human Resources Administrator will also provide administrative support to the board of directors of DARTNet Institute.  This position is the central point of contact with the Human Resources and Payroll Administration service, TriNet, Inc. (https://www.trinet.com).

Responsibilities

  • Act as first contact for all human resource related inquiries from employees and handle/refer as necessary.
  • Process payroll:
    • Gather and review timesheets and enter biweekly time into payroll system
    • Review payroll vendor invoice and other supporting reports and process as required.
  • Maintain personnel records:
    • Enter and maintain all personnel records in outside PEO system as well as internal databases.
  • Assist with hiring and onboarding of new employees:
    • Reference and background checks
    • Offer letters
    • New hire orientation and entry into all systems
  • Act as primary contact with outside PEO to include:
    • Review all communications and refer/act as necessary
    • Complete annual benefit review and work with CEO to make any changes and finalize by annual deadline.
    • Review and select annual holidays for posting on PEO site
    • Maintain DARTNet specific policies on PEO site.
  • Assist CEO with creation and maintenance of company policies and procedures.
  • Monitor labor law changes in areas of primary operation and inform management.
  • Administer company 401k through outside vendor, TriNet, Inc,) to include:
    • Monitoring communications
    • Completing annual report requirements
    • Communicating eligibility and sending required documents to new employees
  • Monitor required employee training and assure compliance.
  • Other administrative duties to include:
    • Administering the virtual phone system
    • Supporting the administrative needs of the board of directors; the assistant secretary of the board of directors,
    • Other duties as assigned.

Knowledge, Skills, and Abilities

  • Excellent telephone, verbal, and written communication skills.
  • Ability to work in all software that is needed for day-to-day operations including Word, Excel, SharePoint, Microsoft 365 and other applicable software.
  • Proven experience in an HR role.
  • Sound knowledge of labor laws and practices.
  • The ability to keep sensitive information confidential.
  • Must be approachable and helpful.
  • Strong critical thinking skills.
  • Good ethical judgment.
  • Self-motivated with the ability to work independently without close supervision

Minimum Requirements

  • Education: Bachelor’s degree required. 
  • Experience: Experience in human resources.
  • Working knowledge of Microsoft Office Suite

Supervision Received

This position reports to the DARTNet Institute President/Chief Executive Officer and may also receive direction from the Chief Technology and Medical Officer.

Working Conditions / Physical Effort

This is a remote position and can be performed from any location with adequate secure phone and internet service.  Must be able to utilize computer, telephone, video conferencing tools.  No travel required.  No unusual physical requirements. 

This position is part time and averages 10-12 hours per week.
