Job Title: Human Resources Coordinator
Department: Human Resources
Reports to: Director of Human Resources
FLSA Status: Exempt

SENIOR HUMAN RESOURCES GENERALIST
The Human Resources Coordinator position at Greenberg Farrow will sit in the Atlanta, Georgia corporate office and report to the Director of Human Resources in Charleston, South Carolina.

DESCRIPTION
The Human Resources Coordinator position works closely with the Human Resources Director and the Director of Accounting as an advocate of the human resource strategy in support of the overall business plan and strategic direction of the firm. Key components of this role will be to administratively support the HR team, work with leadership to execute human resources initiatives, enhance the employee experience at the firm, and to provide excellent support to employees and management.

GENERAL DUTIES AND RESPONSIBILITIES

  • Aids with and facilitates the human resources processes at the firm's US locations.
  • Provides excellent customer service answering questions regarding HR-related issues and employee relations matters in a timely and discrete manner.
  • Leads the onboarding process for all new employees, which includes, conducting new hire orientation for purposes of ensuring appropriate completion of payroll documentation, ensuring timely enrollment for benefits and 401(k), and recommends improvements to the onboarding experience.
  • Ensures all of the employee data fields in the HRIS system (Paycom) and accounting system (Deltek) are accurately completed and maintained for new and existing employees.
  • Prepares new employee electronic files and maintains existing employee files in electronic folders and in the HRIS system efficiently.
  • Electronically processes and maintains I-9 and E-Verify for all new hires, existing and exiting employees.
  • Submits online investigation requests and assists with new-employee background checks.
  • Compiles and submits payroll changes electronically through appropriate personnel action forms.
  • Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
  • Reviews draft payroll reports to ensure all changes have been captured and reviews for accuracy and errors.
  • Leads the offboarding process, including exit interviews, and provides recommendations on improving the employee experience from the data received in the exit interviews.
  • Assists in creating and maintaining thorough job descriptions.
  • Responsible for posting/removing approved jobs on the firm’s job board posting accounts.
  • Participates in employee relations investigations and disciplinary actions with discretion.
  • Provides policy and procedure guidance to employees.
  • Responsible for leave of absence administration, forms and communications.
  • Assists with review and revision of handbook.
  • Assists with benefit billing reconciliation.
  • Responds to employment verification requests, and other requests for information from internal and external customers.
  • Prepares a variety of reports including technical reports and status reports for analysis, federal reporting, etc.
  • Assists with affirmative action program, including filing required government compliance reports annually and maintaining appropriate documentation to conform to EEO regulations.
  • Fosters a positive and inclusive work culture.
  • Reinforces the firm’s culture while engaging with staff.
  • Possess a high level of integrity, judgment, and discretion in handling confidential information, which is essential to maintain the highest confidence of the HR team.
  • Ability to collaborate with different levels of the firm to achieve results, including confidence in communicating with senior leaders in a concise and professional manner.
  • Provides HR administrative support.
  • Assists or prepares correspondence as requested.
  • Processes incoming HR mail and directs correspondence accordingly.
  • Other duties as assigned.

QUALIFICATIONS

  • Bachelor’s degree in Human Resources or related field.
  • 2-5 years of experience position supporting employees in multiple locations, preferably in a professional design office or professional services firm.
  • Working understanding of human resources principles, practices and procedures.
  • Strong planning, organizing, time management, and multi-tasking skills, with attention to detail and accuracy with proven ability to meet deadlines.
  • Excellent written and interpersonal communication skills.
  • Ability to interact professionally and with integrity with all staff.
  • Ability to self-manage projects from start to finish, with oversight from Director of Human Resources and Director of Accounting.
  • Demonstrated problem solving and critical thinking ability.
  • Ability to cultivate trust through competence, reliability, honesty, integrity, respect for others, positivity, and thoughtfully listening.
  • Capable of building sustainable relationships.
  • Able to work independently as well as in a collaborative team environment.
  • Demonstrated ability to work, manage, and meet competing deadlines in a fast-paced environment.
  • Experience managing Affirmative Action Plans and supporting initiatives for Federal Contract Compliance a plus.
  • Proficiency in Microsoft Office applications, including Word, Excel and PowerPoint; strong Excel skills a plus.
  • Proficiency in HRIS systems required; proficiency in Paycom a plus.
  • Proficiency in Deltek a plus.

WORK ENVIRONMENT
Work is performed in a standard office setting with prolonged periods of sitting at a desk and working on a computer.
